Use notes to prepare and record decisions

Use job notes to keep an internal record of decisions about a sale or lease. You can add a note at any time from the Workspace, or create and edit the relevant note while you are taking an action such as recommending or accepting a bid.

Add a note from the Workspace

  1. Open the relevant sale or lease job.

  2. Select Workspace, then Notes.

  3. Select Add note.

  4. Enter a title and the note content.

  5. Choose the context that matches the decision or action, then save the note.

The context connects a note to the corresponding action. Available contexts include accepting a bid, cancelling a job, terminating an agreement, reviewing a service, amending an agreement and other matters.

The Notes area is available to the owner and their team. The appointed agent and job stakeholders do not have access to these internal notes.

Draft a note before taking an action

You can prepare a note in the Workspace before you are ready to act. For example, create a note with the accept bid context before recommending a bid to a teammate.

  1. Add and save the draft from WorkspaceNotes.

  2. Open Bids and select the relevant bid.

  3. Choose Recommend bid for acceptance or Accept bid, according to your team role.

  4. Review and edit the note shown on the action form before submitting the action.

Vendorable uses the most recently created note with the matching context. The same accept bid note can therefore move from an early draft, to a recommendation, to the final note used when the bid is accepted.

Edit a note after making a recommendation

After recommending a bid, return to Workspace →†’ Notes. Find the note, open its Actions menu and select Edit. The note will also be available for further editing when a team authority opens the recommended bid to accept it.

A note remains editable until it is approved. Accepting the bid approves the note submitted with that action, after which it can no longer be edited or deleted.

Make a note while taking an action

You do not have to prepare the note in advance. The relevant action form also provides a note editor. If there is no saved note with the matching context, the editor starts with the applicable job-template text or is left blank. Complete or change the note before submitting the action.

Action-specific notes are available when recommending or accepting a bid, recommending or confirming job cancellation, recommending or confirming agreement termination, and reviewing the appointed agent's service.

Add reusable notes to a job template

  1. Open your owner profile and select Templates.

  2. Create or edit a sale or lease template.

  3. In Notes and feedback notice, add reusable text to any of the note-template fields.

  4. Save the template and use it when creating a job.

A job template can provide starting text for the Accept bid, Cancel job, Terminate agreement and Review service notes. When you later take that action, the text is available in the note editor and can be changed for the particular decision.

A saved note with the matching context takes precedence over the template text. If there is more than one matching note, Vendorable uses the most recently created one.
