Work with co-owners as stakeholders and signatories

Add a co-owner as a stakeholder when they need access to a particular sale or lease job. If they must also sign the agency agreement, nominate them as an additional signatory when accepting the selected agent's bid.

Choose stakeholder or team access

A stakeholder has access to one sale or lease job. This is suitable for a co-owner who needs to view the job, review bids and participate in workspace messages without receiving continuing access to every property and job assigned to a team.

The Co-Owner stakeholder role describes the person's relationship to the transaction. It does not by itself give them team-member or team-authority powers. A stakeholder cannot edit or accept the job solely because they are labelled as a co-owner, and they cannot see the owner team's Notes or Reports areas.

Use a team role instead when the person needs continuing access across the property and its jobs or needs owner-side decision authority. The same email address cannot be both a stakeholder and a member of the team assigned to that job.

Add a co-owner as a stakeholder

  1. Create or edit the sale or lease job.
  2. Find Stakeholders under the additional participants section.
  3. Select Add stakeholder.
  4. Enter the co-owner's email address and choose Co-Owner as their role.
  5. Save or publish the job.

Vendorable emails the stakeholder an invitation to the job. If they do not already have an account, they must create a property owner account using the exact email address that was invited. Once signed in with that address, they can open the job and its available transaction information.

While the job is published, update stakeholders by editing the job. After an agent has been appointed, open the job's Actions menu and select Edit stakeholders.

Nominate a co-owner to sign the agency agreement

The co-owner must have completed their Vendorable account before the bid is accepted. Only stakeholders whose invited email address belongs to an existing account appear as possible additional signatories.

  1. Open Bids and select the bid you intend to accept.
  2. Choose Accept bid.
  3. Confirm the seller or lessor name shown on the agreement.
  4. Under Additional signatories, select each co-owner who must sign.
  5. Review the remaining acceptance details and accept the bid.

Accepting the bid starts the agency-agreement signing process. Vendorable records a required signature for the accepting owner and each selected stakeholder signatory, together with the agent's recorded signature, and notifies people whose signatures are outstanding. The agreement is completed and the appointed-agent project begins only after all required signatures have been supplied.

If the co-owner is missing from Additional signatories

Check that the co-owner is saved as a stakeholder on this job, that their stakeholder email address is correct, and that they finished creating their account with that exact address. Adding somebody as a stakeholder is not enough to make them a signatory automatically.

Select all required co-signatories before accepting the bid. Adding or changing stakeholders after acceptance does not add a signature to the signing process that has already started.
